Frequently asked questions
Common questions about CRM cost modeling and how this tool works.
- How accurate is the CRM pricing in this calculator?
- The calculator uses rounded, documented assumptions that mirror common public list prices — not live quotes. Real invoices depend on discounts, annual billing, add-ons, usage (SMS, calling minutes), and bundles. Always verify on the vendor checkout or with sales.
- Why is HubSpot sometimes $0 in the model?
- When your inputs match a “free-first” profile (e.g., free tier priority without heavy automation or reporting needs), we model HubSpot’s free CRM at $0. If you need paid Sales Hub features, the model moves you to per-seat paid tiers.
- When is Close modeled instead of Pipedrive?
- Close is favored when calling/VoIP and high-velocity outreach are central — the scoring engine boosts communication-heavy workflows. Pipedrive tends to win when pipeline clarity, ease of use, and SMB value are the priority.
- How does Keap pricing work here?
- Keap is modeled as bundled monthly plans with included users and contact limits. We pick the smallest plan that fits your seat and contact inputs. If you exceed the top modeled tier, we still show the top plan but flag that real pricing may differ.
- What does monday sales CRM mean in this tool?
- We compare monday’s CRM offering in the context of teams already using monday.com for work management. If you do not use monday elsewhere, another CRM may be a simpler fit — the calculator reflects that in scores and copy.
- What is “illustrative ROI”?
- It is not a prediction. We take your monthly new deals and apply a small, capped percentage uplift when you select relevant workflow needs, then multiply by your average deal value and subtract modeled annual CRM cost. Use it for directional planning only.
- Do you use affiliate links?
- We may add affiliate links in the future. Recommendations are based purely on fit.
- Which CRM is cheapest for my team?
- It depends on seat count and pricing shape. HubSpot Free and monday Free can be $0 for small teams that fit free limits. Per-seat tools may be cheaper at some seat counts than flat bundles — run the calculator with your numbers to see the modeled comparison table.
